1. Information we collect
Information you give us: your name, email address, phone number, company name, job title, number of locations, and anything you include in a demo request, contact form, email or call.
Client account information: business names, addresses, hours, categories, descriptions, photos and other listing details; access to business profiles and review platforms you connect; billing contact details.
Information collected automatically: IP address, browser and device type, pages visited, referring website and similar usage data, collected through cookies and similar technologies. We may also know whether an email from us was opened.
Public information: to deliver our services we monitor publicly available information about client businesses, including online reviews, directory listings and AI-generated search results. Reviews may contain names or details of the people who wrote them.
2. How we use information
We use personal information to respond to enquiries and run demos; set up, deliver and support our services; manage listings, monitor and respond to reviews, and track AI visibility for clients; send reports, service updates and invoices; improve our website and services; send marketing about MGMT Core, which you can opt out of at any time; and meet legal, security and fraud-prevention obligations.
3. Legal bases (UK, EU and EEA visitors)
Where UK or EU data protection law applies, we rely on performance of a contract, our legitimate interests in operating and marketing our business, your consent (for example, for non-essential cookies), and compliance with legal obligations.
4. How we share information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share it only with:
- Service providers who work on our behalf, such as website hosting, analytics, CRM and email tools, payment processing, and the listing, review and AI-visibility data providers that power our platform. They may use the information only to provide services to us.
- Platforms you ask us to manage, such as Google Business Profile, directories and review sites, when we update listings or post review responses for you.
- Authorities or advisers where required by law, to protect our rights, or in connection with a merger, acquisition or sale of assets.
5. Google user data
If you connect a Google account (for example, Google Business Profile), we access only the data needed to manage your listings and reviews. Our use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements. You can revoke access at any time in your Google account settings.
6. Cookies
We use essential cookies to run the website and analytics cookies to understand how it is used. You can control cookies through your browser settings. Blocking some cookies may affect how the site works.
7. Data retention
We keep personal information only as long as needed for the purposes above. That generally means for the length of a client relationship plus the period required for legal, tax and accounting purposes. Demo and enquiry data is deleted or anonymised if no relationship follows, unless you ask to stay in touch.
8. Security
We use reasonable technical and organisational measures to protect personal information, including encrypted connections and restricted access. No method of transmission or storage is completely secure.
9. International transfers
We are based in the United States and our providers may process data in other countries. Where required, we use appropriate safeguards for international transfers.
